Automate your QuickBooks Online Invoicing workflows with Limble CMMS
We’ve added the ability for Limble CMMS to integrate into QuickBooks Online to automate labor and invoicing workflows. Limble gives you full control over what fields get synced with a variety of tags to customize what you want QuickBooks to do with the information.

Not only will Limble save data into QuickBooks if updates take place on Limble’s end it will also update the task’s invoice in QuickBooks automatically.

How does the Integration Work
Inside Limble you can set up Labor Categories with their own labor and billable rates.
Example of setting up Labor Categories
- Setup Labor Rate
- Use User’s Wage
- Apply a multiplier to wage
- Billable Rate
- Use User’s Wage
- Apply a multiplier to wage
Labor categories will later sync with your Quickbooks labor categories.
You can set up custom tags that are available on every asset and task.
And select what tags are apart of your assets to be auto-synced between Quickbooks and Limble.
Here is what tag options are available and what they do:
Fixed Amount – ex. Dryer Vent
Static Upcharge added to the invoice
Example: It’s a fixed charge of $40 to clean the Dryer Vent.
Tax-Exempt
Make everything related to a task tax-exempt in QuickBooks
Percentage – Truck Charge
A Percentage Upcharge setup the percent with its own line item.
Same with Fixed amount it can select what QuickBooks service to connect it to.
Example: When the truck is used add a Truck Charge to the invoice for 7% with a line item Truck Charge.
Invoiceable
Creates an invoice in Quickbooks
Bill to Parent
Will bill to the parent asset in Limble, this is great when several parts and suppliers are involved.
Enjoy the benefits of automated workflows once Quickbooks is Integrated
When saving a task in Limble the Quickbook tags show up and is easy to select what options a task or asset will have for any work done.
Once the tags have been selected and work has been added to Limble.
They will then sync into Quickbooks.
You can see in this example of 1 hour being recorded and then synced to Quickbooks as 1 hour on the invoice.
Calculating labor and invocable events hasn’t been easier!
Quick Step by Step to setting up Quickbooks API:
- Once you login and get your Limble API Client ID and Limble API Secret Key you can enter them in QuickBook’s Integration by selecting the integration with Limble CMMS and entering your Client ID and Secret Key.
- You can then customize your tags and how they are set up in Quickbooks
Note: If no tags are set up as invoiceable then all items will set up an invoice in Quickbooks.
Labor Categories sync (description needed)
- Move Labor to Quickbooks Services that you already have set up inside of QuickBooks by drag and drop.
When you select a labor category it will use the service inside of Quickbooks. - Link Limble Assets with Quickbooks Customers you have already set up so when tasks and parts are ordered on an asset it will create invoiced to the matching customer in QuickBooks.
- Sync Limble Custom fields to Quick Books fields for data to come in correct.
- Then copy and paste your Quickbooks API webhook into Limble’s API settings and you’re done.
Once data is recorded Limble will sync the data to Quickbooks and remove all the manual work it takes to do this by hand.
